Executive Assistant

Job Responsibilities
  • Assist in maintenance of the client management listing.
  • Assist in scanning of client documents for virtual filing.
  • Contact point for business unit staff on all administration matters connected to Central Admin.
  • Administration of outgoing documents (such as courier service) – Coordinate with business unit staff and Central Admin for timely delivery.
  • Administration of incoming documents – Receive and distribute/scan softcopy to business unit staff concerned promptly including supplier invoices, if any to be handed over to finance.
  • Documents Storage – Coordinate for yearly storage of client files, arrange retrieval of client files as and when requested.
  • Manning incoming calls for business unit. Record outgoing outstation/overseas calls and prepare summary for finance for billing purposes.
  • Coordinate with Central Admin for timely replacement of toners and contact vendor/service engineers to attend to urgent repair works.
  • Custody of stationery items – Monitor re-order level and keep record, raise purchase requisition for stationery purchases.
  • Support the operations service staff when additional hands are required to perform selected tasks.
  • Coordinate staff events.
  • Attend to any other tasks as instructed by the superiors.
  • A passion for administrative & coordinating work, meticulous and can work independently.
  • Able to work in a team and in harmony with co-workers.
  • Proficient in Microsoft Excel and Words.
  • Certificate in Business Administration or other related disciplines.
  • A minimum of 1 year office administration experience.
